The short version
- We use the bill and details you send us to prepare your energy savings report and to email it to you.
- We never sell your data, and we don't use it for third-party marketing.
- Our website doesn't use cookies or analytics.
- You can ask us to see, correct or delete your information at any time.
1. Who we are
This website is run by Setpoint Energy Partners (“we”, “us”, “our”), a family-run business that helps businesses understand their energy costs by comparing their bills with similar sites.
Setpoint Energy Partners is a new UK business and is not yet registered as a company. We'll update this page with our company details once registration is complete.
We are the “controller” of the personal information described in this policy. This means we decide how and why it is used, and we are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. What we collect
When you request a savings report using the form on our website, we collect:
- Your energy bill (PDF, JPG or PNG). Bills usually include the account holder's name, the billing and supply address, account and meter numbers, your supplier and tariff, unit rates, standing charges and energy usage. They may also include some payment details.
- Your email address, so we can send you your report.
- Your type of site, business or site name and postcode, if you choose to give them.
- A record of your consent: that you ticked the consent box, and when you sent the form.
We don't need your bank or payment details. You're welcome to cover them up before you upload your bill.
If you email us, we will also have your email address, your name if you include it, and whatever you choose to tell us.
Like most websites, our hosting provider automatically processes basic technical information when you visit, such as your IP address, browser type and the pages requested. This is used to deliver the website and keep it secure.
Our service is for businesses and is not aimed at children.
3. How we use your information and why
Data protection law says we must have a valid reason, called a “lawful basis”, for using personal information. Here is what we do and the basis we rely on:
| What we do | Lawful basis |
|---|---|
| Analyse your bill, benchmark your site against comparable sites by type and location, and prepare your savings report | Your consent, which you give by ticking the box on our form. Also, taking steps at your request before entering into a contract with you. |
| Email your report to you and reply to any questions about it | Your consent, and taking steps at your request before entering into a contract. |
| Keep a record of requests and of the consent you gave | Our legitimate interests in running our business and being able to show that we handle data properly. |
| Protect our website and form from spam and misuse | Our legitimate interests in keeping our website and the information we hold secure. |
| Comply with the law, for example keeping business records or responding to lawful requests | Legal obligation. |
When we rely on legitimate interests, we have considered your interests and rights and believe they don't override ours. You can ask us for more detail about this.
We will only send you marketing emails if you have separately agreed to receive them. We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.
5. International transfers
Netlify is based in the United States, so information you send through our website may be processed and stored outside the UK. Microsoft, which provides our email, may also process data outside the UK.
When personal information is transferred outside the UK, we make sure appropriate safeguards are in place, as UK data protection law requires. These may include the UK International Data Transfer Addendum to the European Commission's standard contractual clauses, or the UK Extension to the EU–US Data Privacy Framework where the provider is certified. You can contact us for more information about the safeguards we use.
6. How long we keep your information
We only keep personal information for as long as we need it:
- Energy bills and report details: deleted 12 months after we send your savings report, including copies in our email inbox (such as form notifications and the report email), unless you become a client, in which case we keep them for as long as we work together and as required by law.
- Form submissions held by Netlify (including uploaded files): deleted from Netlify once we have saved them securely in our own records, and in any case within 12 months.
- Other correspondence with you: kept for up to 2 years after our last contact.
- Records of consent: kept for as long as we hold the related information, so we can show that we had your permission.
You can ask us to delete your information sooner (see “Your rights” below).
7. Your rights
Under UK data protection law, you have the right to:
- Access: ask for a copy of the personal information we hold about you.
- Rectification: ask us to correct information that is wrong or incomplete.
- Erasure: ask us to delete your information.
- Restriction: ask us to limit how we use your information.
- Objection: object to us using your information where we rely on legitimate interests.
- Portability: ask for information you gave us in a commonly used electronic format, or for it to be sent to another organisation.
- Withdraw consent: where we rely on your consent, you can withdraw it at any time. This won't affect anything we did before you withdrew it.
Some of these rights only apply in certain circumstances. To use any of them, email us at carlindaniel93@hotmail.com. You don't usually have to pay, and we will reply within one month. We may need to ask you to confirm your identity before we act on your request.
8. Complaints
If you're unhappy with how we have handled your information, please contact us first and we'll do our best to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
9. Security
We take appropriate technical and organisational measures to protect your information. These include:
- secure (HTTPS) connections to our website;
- using reputable service providers;
- limiting access to the people who need it to prepare your report;
- deleting information when we no longer need it.
No method of sending or storing information online is completely secure, but we work hard to protect what you share with us.
11. Changes to this policy
We may update this policy from time to time, for example if we change how we handle information or the services we use. We'll post any changes on this page and update the “Last updated” date at the top. If we make significant changes, we'll let you know where appropriate.
12. Contact us
